GDPR – General Data Protection Regulation

What is GDPR?

GDPR or General Data Protection Regulation is a new European wide rule for how companies treat customer data. The regulation applies from 25th May 2018.

What information do we collect?

The information we collect varies slightly from customer to customer and depends on the product or service that you have purchased. Customers are asked to provide only information needed for us to fulfil our service to you.

How is data about you stored?

Once you place an order on our website we start to store the information needed to provide our service. This data is encrypted within our systems and protected further by a series of access restrictions. Data is only accessible to your assigned visa agents and in some cases to other members of staff who require access to carry out their duties within the provision of service to you.

Where required we also provide some data for the issuing of official travel documents such as tourist vouchers, official tourist confirmations and business and work invitations.

How long do we keep your data?

The duration that we keep your data varies from customer to customer and depends on how long it takes to prepare you for your trip to the visa centre and when you intend to visit Russia. We do not keep your data for longer than is needed for us to provide our services to you.

The Final email
Once everything has been prepared and you are ready to visit the visa centre to submit your application we will send you our ‘final email’. In this email we confirm that everything is ready for you to visit the visa centre and attach copies of any relevant documents we are providing. This message represents the completion of our service and triggers the deletion of your data from our systems under the following timelines.

Some examples of when we delete your data:
1. Once we have sent our final email your record will be marked for deletion within 7 days. Once marked for deletion an automated system process will permanently delete all data within 30 days.

2. If you have not completed our further information form and provided all information we require to fulfil our service within 30 days of placing your order, your order data will be marked for deletion. Within 30 days of this happening your data will be permanently deleted from our systems.
It is important for you to be aware that once data has been deleted we cannot re-open your order. If you still wish to proceed, you will need to place a new order making payment again.

Payment data

We do not store your payment data.
